Parents report their children absent in just a few clicks, and the school office receives an instant email notification. The solution noticeably reduces administrative effort and processing times.
The Brief
The town of Neustrelitz decided on a digital solution for absence reporting: on the basis of WordPress, we designed and developed a clear website through which parents can easily report their children absent from five schools and two kindergartens online. The application is available in German, English, and Ukrainian and is optimized for smartphone use. The school office receives an instant email notification with every submission, and parents simultaneously receive a confirmation email. The solution is available at Abmeldung-Neustrelitz.de.
Multilingual, mobile, and covering seven institutions in one: how the application works
Parents first select the relevant institution and then fill out a short form. The central website brings five schools and two kindergartens together on a single platform, which is especially practical when several children are ill at the same time. The application is available in German, English, and Ukrainian, which significantly simplifies use for parents with a migration background and avoids communication issues on the phone. For certain kindergartens and primary schools, canceling lunch is already preset, so this sign-off isn’t forgotten. Since most absence reports are statistically submitted via smartphone, the site was consistently optimized for mobile.
Time-triggered daily summary feature: a real win for administration
A central element of the application is the daily summary feature: each day at a fixed time, every school and kindergarten receives a complete overview of all incoming absence reports as a PDF or CSV file. This replaces the daily listening to voicemails and manually managing individual emails. The experience of Gymnasium Carolinum, which has been using online absence reporting since 2017 and has received more than 32,000 reports, served as an important foundation. The solution can be extended to additional languages and additional institutions as needed, making it interesting for other towns and municipalities as well.
